Privacy notice

Plain-English explanation of what we collect, why, and what you can ask us to do about it. Last updated 9 May 2026.

Who we are

HiveTree Ltd ("HiveTree", "we", "us") operates coworking and serviced offices in Newcastle upon Tyne. We are the data controller for the personal data described in this notice. You can reach us at hello@hivetree.co.uk or +44 191 694 1009.

What we collect

  • Enquiry forms. Name, email, phone (optional), company (optional), the suite you're enquiring about, and the message you send. You give us this directly.
  • Tour bookings. The same fields plus a preferred date and time.
  • Tenant accounts. If you become a HiveTree tenant, we keep the contact details required to manage your tenancy, your tenancy agreement, billing details, and the access credentials we issue (door codes, Wi-Fi vouchers, UniFi access logs).
  • Site usage. Standard server logs (IP, user agent, requested URL) and privacy-respecting product analytics if/when enabled. We do not use cross-site tracking cookies.

Why we use it

  • To respond to enquiries and book tours.
  • To run the tenancy you've signed for.
  • To operate building access, Wi-Fi, and security.
  • To meet our legal and tax obligations.
  • To improve the site and the service.

Lawful bases

Where you fill in a form we rely on your consent. Where we run a tenancy we rely on the contract with you. Where we operate building security or keep accounting records we rely on our legitimate interests and our legal obligations.

Sharing

We don't sell your data. We share it only with the suppliers we need to run the service: hosting (Vercel), email (Resend, when enabled), Telegram (for internal notifications), and our UniFi-managed network and access infrastructure. Each is a data processor acting on our instructions.

Retention

Enquiry messages are kept for up to 24 months. Tenancy records and the financial records that go with them are kept for the period required by UK tax law (currently 6 years after the end of the tenancy). Access logs are kept for 90 days unless we need them longer for a security incident.

Your rights

Under UK GDPR you can ask us for a copy of the data we hold about you, ask us to correct or delete it, ask us to restrict how we use it, or object to certain uses. To exercise any of these rights email hello@hivetree.co.uk. If you're unhappy with how we've handled your data you can complain to the Information Commissioner's Office.
